Santa Fe Office of the Registrar
Transcripts and other academic records for currently enrolled students are requested through the Office of the Registrar. There is no charge for this service. All requests for documents must carry the student’s signature.
Official Transcripts (OT) are produced on security transcript paper and carry the complete course/grade history of the student with session and cumulative grade point averages and the Registrar signature. The Unofficial Transcript (UT) is an unofficial document that carries the course/grade summary with tutors’ names as well as grade point history; there is no Registrar signature; it is not produced on formal letterhead or security paper. Insurance companies usually welcome an unofficial transcript or Enrollment Verification (EV) which can also be obtained via a written request to the office. The PDF noted above carries a Printable Request Form for these types of records. The form is also available in the Office of the Registrar.
Electronic Official Transcripts are available throught our on-line transcript exchange service - Parchment. There is a fee involved and a one-time registration process at the site. For detailed information, click here. The Office of the Registrar is unable to process the sending of an Electronic Official Transcript.
Cognizant of security and privacy issues, college policy discourages fax or email transmittal of academic records. If a request is of such an urgent nature that the student wishes to have this office override this directive, then a signed statement from the student is needed stating that the requestor is fully informed about the policy and that the student releases the college of any liability stemming from the electronic transmission of the academic record(s). ONLY unofficial documents can be faxed or emailed and such documents are stamped Unofficial several times over the face of the paperwork.
Requests are normally processed within three - four working days of receipt. Requests are processed in strict order of receipt. Standard delivery is by US mail first-class. Additional fees are required to send transcripts or records by expedited services such as Fed-Ex or Priority Mail.
To request an academic record, use the Printable Record Request Form on this site, or submit a letter or fax requesting the academic record desired; correspondence must include requestor's signature and the following information:
1. Your name, including your name while you were a student at St. John's, if it has changed
2. Your current address, contact phone number, and email address
3. Your social security number or your college identification number
4. The span of years attended
5. Program (Bachelor of Arts in Liberal Arts (BA), Master of Arts in Liberal Arts (MALA), or Master of Arts in Eastern Classics (MAEC))
6. The record(s) requested
7. Name and address of recipient(s)
8. Number of copies of each type of record requested
9. Your signature and date.
Should you wish to receive your unofficial transcript by PDF, then include the following text:
"I release the college of any liability that may arise from my explicit request that the item or items noted in #6 above be sent to me by email."
and sign again at the close of the statement.
